Information you provide

When you contact us or sign up for trip updates, we collect the contact details and information you provide. For a booking, we may also request details such as your date of birth, travel plans, dietary requirements, or allergies.

Passport details or copies may be collected, stored, and shared with relevant providers when required to arrange or operate your trip. Additional traveler information is currently collected through a separate Google Form.

Please do not send passport copies, payment-card details, or sensitive medical information through the general website inquiry form. Use the follow-up instructions provided for your trip.

How we use information

We use your information to respond to inquiries, arrange and operate trips, manage bookings and payments, and send trip updates you have requested. We also use information needed to operate and protect the website and keep necessary business records.

A trip inquiry does not automatically subscribe you to marketing emails. We do not sell or rent your information or share customer lists for other organizations’ marketing.

Local partners and service providers

We share information with local operators, guides, accommodation providers, and visa or other travel-service providers when they need it to arrange or deliver your trip. This may include passport, travel, dietary, or allergy information relevant to their services.

We also use service providers for website hosting, forms, email, booking records, signatures, and payments. These include ChatGPT Sites/Cloudflare, Resend, iCloud Mail, Google Forms, Notion, eSignatures.com, WhatsApp, and the bank or payment service used for your transaction.

External websites and affiliate links are covered by those providers’ own privacy policies.

Website analytics and browser choices

We collect aggregate website statistics, such as page views, referrals, approximate country, device type, and form submissions. Our analytics do not use tracking cookies or persistent visitor identifiers, and do not store IP addresses, names, or email addresses. Supported Do Not Track and Global Privacy Control signals are respected. Hosting services may separately process information needed for security and access.

Email open and click tracking are currently disabled on our Resend sending domains. Delivery, bounce, and unsubscribe records may still be used to manage emails and subscriptions.

Photos and videos on tours

Tour photos and videos may be used on our website, social media, and other promotional materials in accordance with the permission in the signed participant waiver and applicable law. That permission does not cover promotional use of passport or health records. For questions or requests about media use, email trips@dougbarnardtravel.com.

International bookings and information

We are based in the United States and work with travelers and providers internationally. Information may be processed in the United States, in countries relevant to your trip, or where our service providers operate. Privacy laws may differ between countries. Any transfer requirements that apply must be followed. Contact us if you would like details about where information needed for your booking will be sent.

How long information is kept

We keep information for as long as needed to handle your inquiry or trip, maintain required records, or address legal obligations and claims. Passport copies and health information are removed from our operational records once the trip and related arrangements are complete, unless a specific obligation or active claim requires retention.

Subscriber details are kept while you remain subscribed; limited unsubscribe records may be retained to avoid adding you back. Booking, payment, and signed agreement records may be kept longer for recordkeeping and claims. Tour media is handled under the waiver permission and applicable privacy rights. Backups, banks, and other providers may retain their own records under their policies and obligations.

Your choices and requests

You can unsubscribe from trip announcements using the email’s unsubscribe link or by contacting trips@dougbarnardtravel.com. This does not stop necessary messages about an inquiry or booking.

You can use the same address to request access to, correction of, or deletion of your information. Depending on applicable law, you may also have rights to restrict or object to processing, receive a portable copy, withdraw consent, or complain to a data-protection authority. We may verify your identity and retain records where legally required. Withdrawing consent does not undo earlier lawful processing. Requests are handled within the timeframe required by applicable law.

Changes to this policy

Updates will be posted on this page with a revised date. Where applicable, material changes will also be communicated as required by law.
